Getting Started

What does VisibleSeed do? +

We build custom technology - software, automation, AI, websites, and data tools - for businesses and organizations. If it can be built with code, it's probably something we do. Most clients come to us with a problem ('this takes too long,' 'this tool doesn't fit,' 'we can't see our numbers') and we build the solution.

What industries do you work with? +

All of them. Our work spans construction, private communities, and non-profits - and the problems we solve (manual processes, ill-fitting tools, invisible data) exist in every industry. We learn your world fast and build for it.

Do you work with my industry? +

Almost certainly. We've built for construction, non-profits, fintech, and competitive-gaming communities - industries with nothing in common except a problem worth solving. The work we do (automation, custom tools, AI, websites, data) applies to virtually any field. We learn your world quickly and build for how you actually operate.

I don't know exactly what I need - can you still help? +

Yes - that's most of our clients. A lot of people come to us knowing something's wrong ('this takes too long,' 'we're falling behind') but not what to build. That's what the discovery call is for: we'll help you figure out the smartest, most cost-effective place to start. No pressure, no jargon.

What if I just have an idea and nothing else? +

Perfect starting point. We help take ideas from 'what if' to a working product, and we'll tell you honestly what's realistic for your budget and timeline before you commit a dollar.

Is the discovery call really free? +

Yes. It's a genuine conversation about your problem, not a sales pitch. If we're not the right fit, we'll say so - and often point you somewhere better.

Pricing & Contracts

How much does a project cost? How does pricing work? +

Every project is different, so we don't post flat prices. We work on a flexible model: depending on what you need, that might be a setup fee plus a monthly retainer, a smaller setup with an ongoing retainer, or another arrangement we agree on together. Retainers typically run from around $50/month up to about $2,500/month, and can be more for larger builds. We scope everything to your goals and your budget, and you'll know the plan and the costs before any work starts - no surprises. We also take on non-profit and pro-bono work.

Why don't you list prices? +

Because honest pricing depends on the problem. A quick automation and a full custom platform aren't remotely the same, and slapping a fake 'starting at' number on everything would either mislead you or scare you off. We scope to your goals and budget, and you'll know the real numbers before any work begins. (For reference, retainers typically run from around $50/month up to about $2,500/month, more for larger builds.)

What's included in the monthly retainer? +

Depending on your agreement: building and improving your software, maintenance, monitoring, uptime/status, security updates, and 24/7 support. It's designed so things keep working and keep getting better - not a build-it-and-disappear model.

Is there a setup fee? +

Sometimes. Depending on the project, it might be a setup fee plus a smaller monthly retainer, or a lower setup with an ongoing retainer - whatever makes sense for the work and your budget. It's always agreed in the contract up front.

What happens if I want to stop the retainer? +

We'll always be upfront about this in your contract. You keep your domain, accounts, and data. Because we typically retain the code, we'll talk through your options (including buyout terms if you want them) - no hostage situations, no surprises. Transparency is one of our principles.

Do you offer discounts for non-profits? +

Yes. We partner with non-profits and mission-driven organizations at reduced or pro-bono rates - it's part of why VisibleSeed exists. Reach out through our Partners page.

Who owns the code? +

By default, we keep ownership of the code we build, and you run on it through your retainer - this is what lets us maintain, monitor, and support it properly and keep your costs down (no big lump-sum software buyout). You always keep your own domain, accounts, and data. This is negotiable: depending on the contract and what we agree, ownership terms can be structured differently. We lay all of it out clearly before we start.

Working Together

Do you offer ongoing support, or just one-off projects? +

Ongoing is what we prefer. Most clients work with us as a long-term technical partner on a monthly retainer - we build, maintain, monitor, and keep improving what you run, with 24/7 support, DevOps, and uptime/status monitoring (scoped to what you've signed up for). Think of us as your on-call technical team rather than a one-and-done vendor.

How do we communicate during a project? +

Clearly and regularly. You'll get updates as we go and direct access to the person building your project - no account-manager middlemen, no guessing where things stand.

Do you work remotely? +

Yes, with clients across the United States. Most of our work happens remotely with calls and clear updates; we're based in Houston, TX.

Do you only work with companies in Houston? +

No. We're based in Houston, Texas, and work with clients across the United States. Most collaboration happens remotely, with calls and clear updates throughout.

What if my project needs change partway through? +

That's normal, and we build for it. We'll talk through the change, what it affects, and any impact on timeline or cost - transparently - before moving forward. No silent scope creep, no surprise invoices.

Can you take over a project someone else started or built badly? +

Often, yes. We can assess what exists, tell you honestly whether it's worth saving or rebuilding, and take it from there. We'll give you the straight answer either way.

How fast can you deliver? +

It depends on the project, but we move fast. A focused marketing site (with SEO and a blog) can often be turned around in 1-3 business days, and a custom web app in around 15 business days. Bigger automations and systems get a realistic timeline in the scoping step. We'll never quote a fake deadline to win the work.

How does the process work? +

Four steps: (1) Discover - a call to understand your problem; (2) Scope & quote - we define what we'll build, the timeline, and the cost; (3) Build - we develop it, keeping you updated; (4) Launch & support - we ship it and stay on as your ongoing technical partner.

Are you a single developer or an agency? +

We're a focused studio - leaner and more personal than a big agency, more accountable than a random freelancer. You work directly with the person building your project, and we bring in trusted help when a project needs it.

I'm a small business / startup / non-profit - am I too small? +

No. We work with solo founders and early startups as happily as established companies - in fact, helping the businesses that big firms price out is why VisibleSeed exists. If budget is tight, tell us; we'll find the smallest version that solves your problem, and we offer reduced or pro-bono rates for non-profits.

Technical & Security

Is what you build secure? +

Security is one of our core principles, not an afterthought. We build on modern, secure infrastructure (we favor Cloudflare for speed and protection), follow good engineering practices, keep things updated, and set up monitoring. For client systems we handle, security and reliability are built in from the start.

What technology do you use? +

It depends on the project - we pick what's best for your needs, not what's trendy. We most often reach for fast, secure, SEO-friendly stacks (React, Node, PostgreSQL, Cloudflare, Stripe), and use C#/.NET or other tools when a project calls for it. Cloud and infrastructure across Cloudflare, AWS, Oracle Cloud, and Google Cloud.

Can you integrate with the tools and APIs I already use? +

Yes - integrations are a big part of what we do. We connect external APIs, payment systems (like Stripe), Discord, Notion, Google Sheets, CRMs, and more, so everything works together instead of in silos.

Will my data be private and safe? +

Yes. We handle your data responsibly, keep it secure, and are transparent about how it's used. For sensitive work, we're comfortable operating under an NDA - several of our clients are confidential.

What about AI - do I actually need it? +

Only if it solves a real problem. We'll tell you honestly when AI is the right tool and when it's just hype. When it fits, it can save serious time - processing documents, handling repetitive questions, surfacing insights.

What if I already have tools and systems I like? +

Even better. We're tailored, never templated - we work with your existing tools and workflows (Sheets, Notion, Stripe, whatever you use) and enhance them, rather than making you rip everything out and start over.

Why not just use a no-code tool or a website builder? +

Sometimes that's genuinely the right call - and if it is, we'll tell you. But no-code tools hit a ceiling fast, often cost more over time, and rarely fit a non-standard workflow. When you need something reliable, tailored, and built to scale, custom wins. We help you make that call honestly.

After Launch

What happens after my project launches? +

We stick around. That's the whole point of the partner model - we maintain, monitor, support (24/7, responses under an hour), and keep improving what you run. Your software shouldn't quietly rot six months after launch; ours doesn't, because we're watching it.

What if something breaks? +

Contact support and we're on it - 24/7 availability with responses in under an hour. Routine issues are handled quickly; serious ones escalate immediately to the founder. Monitoring often means we catch problems before you even notice.

Can you keep improving things over time? +

Yes - that's normal under a retainer. As your business grows and changes, we adjust, add features, and optimize. You get a technology partner that evolves with you, not a frozen one-time build.

Do you have a referral program? +
