How much does custom software cost? An honest answer

It’s the first question almost everyone asks, and most agencies dodge it. So here’s the honest version: custom software costs vary enormously, because “custom software” can mean a one-day automation or a year-long platform. Asking the price of custom software is a bit like asking the price of “a vehicle” - a bicycle and a freight truck are both vehicles.

That said, vague isn’t helpful. Here’s what actually drives the number, so you can think about it intelligently.

What drives the cost

  • Scope. How much does it need to do? A single focused automation is a fraction of the cost of a full platform with many features.
  • Complexity. Simple data in, simple data out is cheap. Real-time processing, lots of integrations, or heavy logic costs more.
  • Integrations. Connecting to tools you already use (payments, CRMs, external APIs) adds work - usually worth it, but it’s a factor.
  • Design and polish. A rough internal tool and a customer-facing product with a refined interface are different investments.
  • Ongoing needs. Maintenance, support, monitoring, and improvements over time are part of the real cost of owning software - not just building it.

How we make it affordable

We work on a flexible model - typically a setup fee plus a monthly retainer, scaled to the project and your budget. (For reference, our retainers usually run from around $50/month up to about $2,500/month, more for larger builds.) That spreads the cost out instead of hitting you with one giant bill, and it covers maintenance and support so the software keeps working long after launch.

The most important cost question

The real question isn’t “how much does it cost?” - it’s “will it earn back more than it costs?” Good custom software pays for itself in time saved, money saved, or growth enabled. If it won’t, we’ll tell you not to build it. That’s the whole point of working with someone honest.
